Who we are

Rubicon is operated by Rubicon Microproducts Inc. (info@rubiconmp.com). It is a business process platform for building forms, routing the resulting work and tracking outcomes.

For questions about this policy, contact us at info@rubiconmp.com.

Information we hold

Account data: your name, email address and sign-in details.

Workspace content: forms, processes, lookup lists, submissions, cases, notes and decisions created by your organisation. Submissions are submitted by your organisation's requesters; your organisation controls that content and we process it on its behalf.

Supporting documents uploaded for AI-assisted form filling are processed to suggest answers and are not stored.

Operational records: timestamps, error summaries and product milestones (for example that a form was published), used to keep the service healthy. These never include submitted form values.

Demo and contact requests: the name, email, company and message you send us.

How we use it

To run the service for your organisation, including AI features you choose to use.

To keep the platform secure and working: monitor errors, prevent abuse and investigate failures.

To reply to your enquiries.

We do not sell your data, and we do not use it for advertising or profiling. Submitted form values are never sent to analytics providers.

AI processing

AI features (drafting forms and processes, document-assisted filling, case review) send the relevant content to an AI model provider to produce a suggestion. Suggestions are always reviewed by a person before they take effect.

Cookies

Rubicon Microproducts Inc. uses a small number of essential cookies and browser storage to keep you signed in and keep your workspace secure. We do not use advertising or cross-site tracking cookies.

Billing and payment information

Rubicon is free during public beta. If paid plans are introduced, payments will be handled by Stripe. Card details will be entered with Stripe and never held by us; we would receive only the plan, status, renewal dates, billing email, country and invoice reference.

Stripe acts as a controller of the payment data it collects and applies its own privacy notice, available at https://stripe.com/privacy.

Legal basis

Rubicon Microproducts Inc. relies on performance of our contract with you to provide the platform; on legitimate interests to keep it secure and reliable and prevent misuse; on consent where we ask for it; and on legal obligation where law requires us to keep or disclose records. You may withdraw consent at any time.

How we protect information

Encryption in transit and at rest with our hosting provider, per-organisation separation enforced in the database, access limited to people who need it, and audit history of workflow actions. No system is completely secure, so we keep personal data to the minimum the service needs.

Sharing and processors

We use service providers to host the application and database, to run AI models, and — once connected — to deliver email. They process data only to provide those services to us. We may share information with professional advisers or where the law requires it. We do not sell personal data.

Retention

Workspace content is retained while your organisation's account is active and deleted or anonymised within a reasonable period after it closes, unless you ask us to export it first. Content is never deleted automatically because a subscription lapses.

Your choices

You can ask us to access, correct, export or delete personal information we hold about you by writing to info@rubiconmp.com.

Changes to this policy

We will update this page when our handling of information changes and note the date here.
